Programming and Membership Coordinator

Located in Pointe-Claire, the West Island Women’s Centre (WIWC) is a dynamic, widely-used non-profit organization dedicated to improving the quality of life for women.
We provide educational, social and recreational services for West Island women and the community at large. The Center is open to all, regardless of age, ethnicity or socio-economic background.

Job Description:

Under the supervision of the General Manager and in close collaboration with WIWC’s Director of Programming, the Programming and Membership Coordinator is responsible for creating and implementing the Center’s affordable courses and programs. The Programming and Membership Coordinator also supports the Centre’s membership by ensuring that membership policies, newsletters and databases are applied and kept up to date.

Responsibilities:

  • Collaborate with the Programming Director to ensure that all program objectives and outcomes are met for each session;
  • Develop and organize schedules for in-person and online courses;
  • Work with the programming committee to prepare courses for upcoming sessions;
  • Participate in the research and development of new course ideas;
  • Suggest program improvements based on information gathering and analysis;
  • Liaise with potential new instructors and maintain a list of instructors;
  • Create and distribute course registration information to members;
  • Work with in-house team to establish course schedules, registration processes and resolve registration issues;
  • Respond to inquiries about courses or general information;
  • Provide key performance indicators and price statistics on request;
  • Develop and update course organization and attendance lists for instructors;
  • Set up zoom meeting links for online courses for each session;
  • Maintain and update instructor manuals;
  • Develop and help realize marketing campaign ideas for courses;
  • Ensure that all course equipment complies with safety requirements;
  • Work with the Childcare Manager to ensure that enrollment needs are met;
  • Work in collaboration with the Community Outreach Coordinator to ensure that course and community programs are aligned.
  • Provide front-line support and information to members, volunteers and the general public;
  • Coordinate and develop member communications;
  • Update the members’ handbook and ensure that policies are properly applied at each session;
  • Update and maintain information about courses or news for members on the WIWC website;
  • Engage and support volunteers according to the needs of the Centre’s programs;
  • Help organize events for members;

Requirements:

  • Degree in social services, community development, administration or related field;
  • 1 to 3 years’ experience in program development or project management;
  • Experience in a non-profit community organization is considered an asset;
  • Highly motivated, efficient, adaptable, positive and energetic;
  • Establish and maintain good interpersonal relations;
  • Work independently and in a team environment;
  • Focused and attentive to detail;
  • Excellent oral and written comprehension/expression skills;
  • Bilingual (French and English), spoken and written;
  • Experience using the Amilia registration system or related software;
  • Experience using Mailchimp or other communication software is considered an asset;
  • Experience using Canva is considered an asset;
  • Experience of Microsoft Office (Word, Excel, Access, Power Point), Google docs, WordPress, Zoom;
  • Experience using social media platforms.
